Refund policy
We know plans change — especially in clinical practice. These rules are fair in both directions and mirror what the registration form tells you before you pay.

01Cancellation by a delegate
- On or before 30 September 2026 (early-bird close): full refund, less an INR 500 processing fee.
- After 30 September 2026 until 15 October 2026: 75% refund.
- After 15 October 2026 and for no-shows: no refund — but see substitution below.
- Cancellation requests are counted on the date the email reaches the secretariat.
02Substitution is always free
Any registration can be transferred to a colleague from your institution at no charge, in writing, up to 21 October 2026. After that, badges are issued to the registered name; venue-desk exceptions are at the secretariat's discretion.
03Group bookings and refund mechanics
Group discounts (10–20% for five or more delegates) apply to the original invoice; cancellations within a group follow the window ladder above, applied to the seats cancelled. Refunds return to the paying institution's account through the original payment mode, within 10–14 working days; amounts inclusive of GST are refunded proportionately.
04If the Organisers change or cancel the event
If the symposium is postponed, affected registrations automatically transfer to the new dates; if you cannot attend then, you may choose a full refund or a credit towards the next edition. If the symposium is cancelled outright, all fees are refunded in full within 30 days. The Organisers are not liable for delegates' travel or accommodation costs — we recommend refundable bookings; our venue page lists flexible partner hotels.
05Questions on a specific case
Write to the secretariat with your registration reference — the organizing secretary's office responds within two working days. Committee ratification of the final fee and cut-off figures will be reflected on this page before registrations open.
